General Summary: We are seeking a detail-oriented and motivated Accounting Specialist / Accounts Receivable (AR) to join our Irvine office. This position plays a vital role in assisting attorneys with the collection of past due receivables and maintaining strong client relationships. The ideal candidate will be assertive yet professional, with excellent communication skills and a collaborative approach to teamwork to provide superior client service.
Responsibilities:
- Contact clients via phone and email regarding outstanding balances, document all collection activities and pertinent information in the Accounts Receivable Collection System (ARCS).
- Prepare and process 60- and 100-day dunning letters.
- Update weekly A/R reports to track current collection efforts, payment progress and status updates for past-due client accounts.
- Keep partners informed of the receivable status of their clients through regular reports, emails, phone calls, and A/R Committee meetings.
- Attend and take minutes at weekly A/R Committee meetings; distribute meeting minutes to committee members.
- Perform other accounting and administrative tasks as assigned.
Qualifications:
- Minimum of one (1) year of experience handling credit and collections, preferably in a high-volume environment.
- General accounting knowledge, with the ability to analyze and reconcile client accounts. Familiarity with Aderant accounting software a plus.
- Strong written and verbal communication skills, with excellent proofreading, grammar, attention to detail and problem-solving abilities.
- Knowledge of Microsoft Office with strong proficiency in Excel, including use of VLOOKUP, formulas, PivotTables, and data validation.
- Highly organized, efficient, and able to manage multiple tasks in a fast-paced environment.
- Positive attitude and strong team player.
- Must meet minimum testing requirements.
- Ability to lift and carry up to 15 pounds.
Supervisor’s Title: Assistant Director of Finance, AR Managers
Status: Non-Exempt, Full-time
Hours: Monday through Friday, 8:30 a.m. to 5:30 p.m. Hybrid option available after the probationary period. This position depends upon the ability of the employee to work closely with attorneys and staff members during regular scheduled hours. This position requires the ability to work overtime, which often cannot be predicted in advance.

Compensation and Benefits:
- Salary Range: Competitive annual base salary, estimated to be between $65,000 and $80,000 upon hire (good faith estimate for starting pay)
